ZazzyAgent Outbound Webhooks | Send Customer Data to Other Apps
Most people first learn about webhooks as a way to send information into ZazzyAgent.
Outbound webhooks work in the opposite direction.
They let ZazzyAgent send information to another application when something happens.
For example:
Customer completes lead form
↓
ZazzyAgent
↓
Outbound webhook
↓
CRM
The CRM can then create or update the customer automatically.
What can you send?
Depending on the workflow, outbound webhooks can send information such as:
Subscriber information
Name
Phone
Email
Custom fields
User Input responses
Other supported workflow data
When should you use an outbound webhook?
Use one when another application needs customer information collected by ZazzyAgent.
Examples:
Send leads to CRM
Send form responses to your backend
Trigger email automation
Send data to Zapier
Send customer data to an internal application
Trigger another workflow
The current integration workflow supports sending chatbot-collected data to external services through outbound webhooks.
Example: Lead form to CRM
Customer completes:
Name: Rahul Email: rahul@example.com Phone: +91XXXXXXXXXX Requirement: WhatsApp automation
ZazzyAgent collects the data.
Then the outbound webhook sends it to your CRM.
The CRM creates:
Rahul — New Lead
No manual data entry is required.
Step 1: Collect the customer information
Build a User Input workflow.
Ask the questions you need.
For example:
Name
Email
Phone
Requirement
Save each response into the appropriate field.
Step 2: Create the receiving webhook
Open the external system.
Create a webhook endpoint or use a service such as your automation platform's webhook trigger.
The external system will provide a URL.
Step 3: Copy the receiving URL
Copy the URL.
You will use it when configuring the outbound webhook inside ZazzyAgent.
Step 4: Create the outbound webhook
Open the relevant WhatsApp/automation configuration in ZazzyAgent.
Create an outbound webhook.
Enter:
Webhook name
Receiving URL
Trigger type
Flow/User Input flow
Fields to send
Step 5: Choose the trigger
Choose the event that should send the information.
For example:
User Input completed
This means the webhook runs after the customer finishes the specified input flow.
Step 6: Choose the fields
Select the customer information you want to send.
For example:
Name
Email
Phone
Product Interest
Budget
Don't send information the receiving application doesn't need.
Step 7: Save the configuration
Save the outbound webhook.
Step 8: Test the flow
Run your User Input workflow.
Enter sample data.
Then check the receiving application.
You should see the webhook payload arrive.

The actual structure depends on the receiving system, but conceptually it may contain:

Troubleshooting
Webhook doesn't arrive
Check:
Receiving URL
Trigger configuration
User Input completion
External webhook service
Whether the flow actually ran
Some fields are missing
Check whether those fields were enabled in the outbound webhook configuration.
Data is present but incorrect
Check the field mapping.
Make sure you're sending the intended custom field or response.
CRM creates duplicate leads
Look at the trigger conditions.
Make sure the outbound webhook isn't being triggered multiple times for the same customer.
Don't send unnecessary customer data
Only send what the receiving application needs.
A CRM might only need:
Name
Phone
Email
Requirement
There's no reason to send unrelated conversation data.
