How to Import WhatsApp Contacts from Google Sheets | ZazzyAgent
Already have your customer list in Google Sheets?
You can import that information into ZazzyAgent instead of entering contacts manually one by one.
This is useful when your business already maintains customer data in a spreadsheet and wants to use those contacts for WhatsApp conversations, segmentation, automation or campaigns.
What you need before importing
Prepare:
A Google account
A Google Sheet containing your contacts
A connected Google Sheets account in ZazzyAgent
A phone-number column
Customer information you want to map to ZazzyAgent fields
Prepare your Google Sheet
Keep your spreadsheet simple and structured.
A basic example:
| Name | Phone | City | |
|---|---|---|---|
| Rahul | +919999999999 | rahul@example.com | Mumbai |
| Priya | +919888888888 | priya@example.com | Pune |
Phone numbers are required
The phone number is what identifies the WhatsApp subscriber.
Use country codes with phone numbers.
For an Indian number, use a format such as:
+919999999999
Avoid entering phone numbers without a country code when the workflow requires an international format.
Keep your column headers clean
Use simple headers such as:
Name
Phone
Email
City
Product
Budget
Avoid unnecessary spaces, symbols or complicated column names when the integration requires clean headers.
Connect Google Sheets
Open the Google Sheets integration area in ZazzyAgent.
Connect the Google account that contains the spreadsheet you want to use.
Authorize the requested Google Sheets permissions.
Once the account is connected, your available Sheets can be selected during import.
Import your contacts
Open the WhatsApp Subscriber/Contact management area.
Choose the option to import subscribers or contacts.
Select:
Import from Google Sheet
Choose the Google Sheet containing your customer list.
Map the columns
ZazzyAgent will show your Sheet data so you can map the spreadsheet columns to subscriber fields.
At minimum, map:
Phone → Subscriber Phone
You can also map:
Name → Subscriber Name
Other columns can be mapped to available custom fields.
For example:
Email → Email custom field
City → City custom field
Product → Product Interest custom field
Budget → Budget custom field
Review your mapping carefully
Before importing, check every important field.
Example:
| Google Sheet column | ZazzyAgent field |
|---|---|
| Name | Subscriber Name |
| Phone | Subscriber Phone |
| City | City |
| Product | Product Interest |
A wrong mapping can put information into the wrong field.
Start the import
Once your mapping is correct, confirm the import.
The contacts should then become available inside your subscriber/contact area.
What can you do with imported contacts?
Once your contacts are available, you can use supported ZazzyAgent features such as:
Labels
Segments
Broadcasts
Sequences
Personalization
Automation
Customer conversations
Example: Import an existing lead list
Suppose your sales team already has:
| Name | Phone | Product | City |
|---|---|---|---|
| Rahul | +919999999999 | Enterprise | Mumbai |
| Priya | +919888888888 | Professional | Pune |
Import the list and map:
Name
Phone
Product
City
Now your customer records contain useful information that can be used by your team and supported automation.
Use imported data for personalization
If you've mapped:
Name
you may be able to personalize supported messages.
Instead of:
Hello! We have an update for you.
you could send:
Hi Rahul! We have an update for you.
Other mapped fields can also be useful for segmentation and targeted campaigns.
Common import problems
Phone number is missing
The phone column is required for WhatsApp subscriber import.
Make sure every customer row has a valid phone number.
Phone numbers aren't working
Check that they include the country code and are in a usable WhatsApp number format.
Customer name isn't showing
Check the Name → Subscriber Name mapping.
Custom field is empty
Check whether:
The custom field exists.
The Sheet column was mapped to it.
The source cells contain values.
Google Sheet isn't available
Check that:
The correct Google account is connected.
You approved the requested permissions.
The Sheet is available to that account.
Don't import a messy database
Clean your Sheet before importing.
Remove:
Empty rows
Duplicate contacts
Incorrect phone numbers
Test data
Obsolete customer records
The cleaner the source data, the easier it will be to manage your audience later.
