What is an internal note?
An internal note is information stored inside the customer conversation for your team.
The customer does not receive the note as a WhatsApp or Instagram message.
For example:
Customer wants a callback tomorrow afternoon.
A support agent can read the note when taking over the conversation.

Use:

The text after the colon is the note that should be saved internally.
Example: Callback request
Suppose the customer says:
Can someone call me tomorrow?
Your System Prompt could contain:
When a customer requests a callback,
add an internal note explaining the callback request.

The note is stored for your team.
Make notes useful
A vague note isn't very helpful.
Weak:
##add_note## : Customer issue
Better:
##add_note## : Customer wants a callback regarding their delayed order.
The note should give the human agent useful context without becoming a transcript of the entire conversation.
Include the important detail
Suppose the customer says:
I need someone to call me after 6 PM because I want to discuss a bulk order.
A useful note could be:
##add_note## : Customer requested a callback after 6 PM regarding a bulk order.
Now the sales agent already knows the reason for the call.
Combine an internal note with human assignment
Internal notes become particularly useful during handoff.
Example:
When the customer requests human support for a delayed order,
add an internal note explaining that the customer is waiting for delivery information.

Assign the conversation to the Support team.

Internal notes are for your staff, but that doesn't mean you should store anything without a reason.
Only record information your team actually needs.
