How to Use the WhatsApp Business App | A Complete Step-by-Step Guide for Indian Businesses

You've downloaded the WhatsApp Business App. Maybe you've set up the basic profile. But you have a feeling you're not using it anywhere near its full potential — and you're right.

Step 1: Download and Install

The WhatsApp Business App is a separate app from the regular WhatsApp. You can have both on the same phone using different phone numbers.

On Android: Play Store → search "WhatsApp Business" → Install On iPhone: App Store → search "WhatsApp Business" → Get

Register with your business phone number — ideally a dedicated number just for business, not your personal mobile.


Step 2: Set Up Your Business Profile (Do This Properly — Most Businesses Rush It)

Your WhatsApp Business profile is the first thing a customer sees when they look at your account. A complete, professional profile builds trust before you've said a word.

Go to: Settings → Business tools → Business profile

Fill in every field:

Business name: Your official business name, exactly as customers know it. This is what shows when people search for your business.

Category: Choose the most accurate category — Retail, Healthcare, Education, Real Estate, etc. This helps Meta and customers understand what you do.

Description: Two to three sentences about your business. What you do. Who you serve. What makes you different. Keep it factual and specific.

"Priya Boutique is a women's clothing store in Pune specialising in festive and casual wear. We ship pan-India within 3–5 days."

Business hours: Set your actual hours. WhatsApp will show customers when you're available. Customers who message outside hours set appropriate expectations.

Address: If you have a physical location, add your full address.

Email: A business email address for customers who prefer that channel.

Website: Your business website URL.

Profile photo: Your logo or a professional photograph of your store/product. Not a personal photo. Not a blurry selfie.


Step 3: Set Up Your Catalogue

The WhatsApp Business Catalogue lets customers browse your products or services without leaving WhatsApp. It's one of the most underused features.

Go to: Settings → Business tools → Catalogue → Add item

For each product:

  • Add up to 10 clear photos (square 1:1 format works best)

  • Product name (required)

  • Price (or mark "Price on request")

  • Description: answer the questions customers always ask — size availability, materials, delivery time, what's included

  • Website link: link directly to the product page on your website

How customers access your catalogue: They can tap "View Catalogue" on your business profile, or you can share individual items or the full catalogue directly in any chat.

Practical tip: Your catalogue is your first reply to "what do you sell?" Share it in every new customer conversation as the starting point.


Step 4: Create Quick Replies

Quick Replies are pre-written messages you can send with just a few keystrokes. They save enormous time if you answer the same questions repeatedly.

Go to: Settings → Business tools → Quick replies → + (add)

Format: Each quick reply has a shortcut (e.g., /price) and the full message.

Useful quick replies to create:

How to use: Type / in any chat and your shortcuts appear. Tap the one you want. The full message is ready to send or edit before sending.


Step 5: Set Up Automated Messages

The WhatsApp Business App supports three types of automated messages. These are basic — nothing like the sophisticated flows possible with the API — but useful.

Go to: Settings → Business tools → Greeting message / Away message / Quick replies

Away Message

Sends automatically when a customer messages you outside your business hours.

Best practice:

"Hi! Thanks for messaging [Business Name] 😊 We're currently closed. Our hours are Mon–Sat 10 AM–7 PM. We'll reply first thing when we're back — or call us at [number] if it's urgent."

Set it to send only outside your defined business hours.

Greeting Message

Sends automatically when someone messages you for the very first time, or after 14 days of no interaction.

Best practice:

"Welcome to [Business Name]! 👋 Thanks for reaching out. How can we help you today? Feel free to browse our catalogue: [link]"

Shortcut Messages (Quick Replies)

The quick replies you set up in Step 4 are used here — they're sent manually, not automatically, but they speed up your responses enormously.


Step 6: Use Labels to Organise Your Chats

Labels let you categorise conversations so you can find, filter, and follow up on them later. This is one of the most powerful features for staying organised.

Go to: Any chat → tap and hold → Label → Choose or create a label

Useful label categories:

  • 🔴 New customer

  • 🟡 Pending order

  • 🟢 Order complete

  • 🔵 Regular buyer

  • ⭐ VIP customer

  • 💬 Needs follow-up

  • 💰 Payment pending

  • 📦 Delivered

Once labelled, you can filter your chat list by label — see all "Needs follow-up" conversations instantly, or all "Payment pending" customers for a quick reminder broadcast.

How to see all conversations with a specific label: Chat list → tap the filter icon → select the label


Step 7: Create and Use Broadcast Lists

A broadcast list sends a message to multiple contacts simultaneously as private individual messages.

Go to: Chat list → New broadcast (three-dot menu or New Chat button)

Add contacts: Select contacts from your phone. Remember: only contacts who have saved your number will receive the broadcast.

Maximum: 256 contacts per broadcast list.

Create multiple lists for different segments:

  • "VIP Customers" — your best buyers get exclusive early access to sales

  • "Pune Customers" — location-specific promotions

  • "January Leads" — customers who enquired in January but haven't purchased

Important: Write personalised messages for each list. A broadcast to "VIP Customers" should feel more exclusive than one to everyone.


Step 8: Use Status Updates as a Free Marketing Channel

WhatsApp Status shows text, photos, and videos to all contacts who have saved your number. It disappears after 24 hours. Most businesses completely ignore this.

What to post on Status:

  • Today's product highlight or limited availability

  • Behind-the-scenes content (packaging orders, the making of a product)

  • Customer testimonials (get permission first)

  • Flash offer valid for 24 hours (Status's natural urgency)

  • Festival greetings with a subtle brand mention

  • "We're restocking [popular item] tomorrow — comment to reserve"

Step 9: Manage Multiple Devices

The WhatsApp Business App allows up to 5 devices linked simultaneously — your primary device plus 4 linked devices. This lets different team members access the same WhatsApp on different phones or computers.

Go to: Settings → Linked devices → Link a device

Important limitation: All linked devices share the same WhatsApp account and see all conversations. There is no assignment system, no internal notes, and no conversation tracking between devices.
